From idea to on-screen, the honest version.

Here’s exactly what happens, who can submit directly, and what to do if that’s not you — so nothing bounces at the last step.

Three steps from idea to on-screen

Prepare your creative

One image or video, sized to your chosen format and within the specs. Check the guidelines first so it passes review the first time.

Submit & sign in

Open the U-Vision submission platform, sign in with your HKU account, add your details and dates, and upload. No file handling on this website.

We review & publish

The U-Vision team reviews it against campus standards, then schedules it to the screens for your dates. You’re notified of the outcome.

Before you submit

Two ways onto the screens.

If your HKU account has Microsoft 365 access, you can submit directly. Everyone else has an easy, assisted route — pick the one that’s you.

Direct route

HKU Faculty Staff

If your HKU account has Microsoft 365 access, you can submit straight away, no extra approvals to start.

Assisted route

Students, societies, departmental accounts & everyone else

Students, student societies, RPg students, staff with a departmental account, and anyone else without Microsoft 365 access — ask a HKU staff member who has Microsoft 365 access to submit for you, or contact the U-Vision team and we’ll point you the right way. A real path, not a dead end.

Pre-submission checklist

One file only — a single .jpg, .png or .mp4
Under 200 MB
Video no longer than 3 minutes (180s) — aim for 15–30 seconds
Correct orientation for your format (landscape or portrait)
Start and end dates ready (start on or before end)
Any required clearance from your department or faculty

What happens next

Step 1 · Review

Your submission is checked against campus content and technical standards by the U-Vision team.

Step 2 · Decision

You’ll be notified by email if it’s approved, or if a change is needed before it can run.

Step 3 · On screen

Approved content is scheduled to the screens for your dates. Manage or withdraw it from the submission app.

Status, edits and withdrawal are handled in the submission app — not on this website.
