Get it right once, and it runs.
Most rejections come from a handful of avoidable issues. These are the enforced rules and the design guidance that keeps your creative legible on a screen across a room.
Technical specifications
Enforced at submission unless noted as guidance.
| Requirement | Specification | Status |
|---|---|---|
| File formats | .jpg · .png · .mp4 | Enforced |
| Number of files | One file per submission | Enforced |
| File size | Up to 200 MB | Enforced |
| Orientation | Landscape 1920×1080 or portrait 1080×1920, matched to your format | Enforced |
| Schedule | Start and end date; start on or before end | Enforced |
| Video length | Up to 3 minutes (180 seconds); 15–30 seconds recommended | Guidance |
| Campaign length | Up to 60 days; book only the dates you need so screens stay fresh | Enforced |
| Time on screen | A video plays for its own length; a still image gets 10 seconds | Guidance |
| Lead time | Submit at least 3 business days before your start date | Guidance |
Campaign length is capped at 60 days and enforced at submission. Video length is guidance — when in doubt, keep videos short. Video walls and escalator arrays are arranged with the team by email rather than through the form; allow at least a week for those.
Video over the 200 MB limit? Compress it before submitting with the free HandBrake (opens in new tab) app or freeconvert.com/video-compressor (opens in new tab) — both shrink the file with little visible quality loss.
Design for a screen across the room
Keep a safe area
Keep text and logos within the inner ~90% of the frame. Screens crop and bezels intrude at the edges.
Big, bold text
One headline people can read in three seconds from a distance. Avoid paragraphs — a screen is not a poster you stand next to.
Strong contrast
Light text on dark or dark on light. Thin type and low contrast disappear under corridor lighting.
Correct branding
Use official HKU / unit logos with proper clear space. No stretched, low-res or unofficial marks.
