Who can submit content to U-Vision?
If your HKU account has Microsoft 365 access, you can submit directly. Students, student societies, RPg students, staff with a departmental account, and anyone else without Microsoft 365 access ask a HKU staff member who has Microsoft 365 access to submit for them, or contact the U-Vision team for help.
What content is accepted?
Promotions relevant to the HKU community — events, programmes, research and university brand or campaign content. One image (.jpg/.png) or video (.mp4) per submission, up to 200 MB, in landscape or portrait to match your chosen format.
How early should I submit?
Submit with comfortable lead time before your start date so there’s room for review and any revision. The team will confirm the current approval lead time — as a rule of thumb, plan at least a week ahead for time-sensitive events.
How long can a video be?
Keep it short — we recommend 15–30 seconds, and it must not run longer than 3 minutes (180 seconds). If your file is over 200 MB, compress it first with the free HandBrake (opens in new tab) app or freeconvert.com/video-compressor (opens in new tab).
Can I choose specific screens or locations?
You can indicate an orientation and preferences, and the team schedules across the network. Exact per-screen placement isn’t self-selected — tell the team if a particular zone matters for your audience.
Why might a submission be rejected?
Usually a technical issue (wrong format, over 200 MB, wrong orientation) or a content issue (unreadable at distance, off-brand, or not relevant to the HKU community). Following the guidelines clears almost all of these before you submit.
Can I revise or withdraw after submitting?
Yes. Viewing, editing and withdrawing a submission is handled inside the submission app under “My Submissions” — not on this website. If the team requests a change, you’ll get an email explaining what’s needed.
Who do I contact for an urgent issue?
Use the U-Vision contact page — it’s the single support channel, so you don’t have to guess between IT, CPAO or a vendor. Email reaches the team directly.
